How Sparkhaus works with QuickBooks

Sparkhaus and QuickBooks keep sales and accounting aligned automatically. Customers, invoices and payments flow between the two systems so finance always has the full picture without manual re-entry.

In practice

A customer pays through a Sparkhaus order form. Within minutes the matching sales receipt appears in QuickBooks tied to the right contact. When the invoice is marked sent, QuickBooks reflects it automatically — and once their first invoice is fully paid, a review request can fire without anyone lifting a finger.

What syncs

  • Contacts created or active in Sparkhaus are pushed to QuickBooks as customers; new QuickBooks contacts are brought back into Sparkhaus
  • Payments made in Sparkhaus order forms, subscriptions, memberships and calendar payments are registered as sales receipts in QuickBooks, matched by contact email
  • Invoices marked as sent in Sparkhaus create matching invoices in QuickBooks, syncing invoice number, status, dates, billing email, totals, payments, line items, discounts and taxes
  • Invoice updates in Sparkhaus — status changes, amounts paid and other details — continue to update in QuickBooks
  • When a contact's first QuickBooks invoice is paid in full, Sparkhaus can automatically send a review request (toggle on/off)
  • Existing Sparkhaus invoices are not synced retroactively — only new invoices created after the integration is set up
  • Historical QuickBooks invoices can be imported into Sparkhaus during initial setup (changes made to those imported invoices in Sparkhaus will not sync back)
